City of Charleston Carnegie Public Library Board of Trustees met June 6.

Here are the minutes provided by the board:

1. Call to Order; 6:30

5. Omnibus Agenda

A. Approval of the May 2, 2022 Board Meeting Minutes- circulation increase, summer reading going well, CLOW updating HVAC which seems to be going well.

B. Acceptance of Director’s Report

C. Acceptance of Stat Report

D. Acceptance of Grant & Donation Report

E. Acceptance of Financial Reports- provided at the meeting

F. Approval of the bills payable- provided at the meeting; no bills to approve

6. Action Item 2022-6: Vote to approve amended Fiscal Year 2023 Budget

a. Chris is looking for the board to approve temporary increase in director’s spending limit. Normally $5k. During HVAC repair time Chris wants an increase to make a quick decision so the work could continue without having to call a special board meeting. Chris asked for $10k but open to different amount depending on board’s discretion.

7. Discussion Item

A. Literature & Libations 2022

a. We have the libations! Coming from Gateway instead of East Side. We’ll be umbrella’d under their liquor license. Not sure if last time was only wine or beer. Jess asked the vendor to send the previous order for replication. Jake remembers beer being there. Has to get registered with city but might be $300 because not refundable. Awaiting further information, but we’ve got booze!

b. Discussed fundraising update and potential targets

c. Previous iteration of gift baskets in 2018 didn’t get much interest due to lack of theme or quality merchandise.

d. Discussed possibility of silent auction. Jess likes idea of bigger gift baskets. If we have smaller items we can still accept donations and do gift cards instead. Have a wall of gift cards for 5-10 and you get a blind pull for $10 and its fun!

e. Maybe when we approach people to donate, we can let them know either cash or gift basket is acceptable.

f. Do we have a gofundme or paypal or venmo that we can accept virtual donations in addition to check/cash. Can print QR codes on paper for direct donations.

g. Can invest in Facebook ads to promote the event and drum up donations

i. Would need to build separate sign up sheet to track who is actually planning to come versus donation only.

j. We reviewed the Gsheet for sponsors and updated with some additional local businesses and board members to ask them.

k. Could we trade Cromwell Media sponsorship for ad time? Jess will call Lucy.

l. Let’s still do the printed tickets because some still can buy in the physical form

m. Can ask Chris to print them for the next board meeting (July) so we could start distributing – or can just swing by to pick them up when they’re ready.
