Robinson Public Library District Board of Trustees met March 17.

Here is the minutes provided by the Board:

President Debbie Scott called the meeting of the Robinson Public Library District’s Board of Trustees to order at 9:05 a.m. on Saturday, March 17, 2018, in the Carnegie Room of the Robinson Public Library.

Members Present: Debbie Walls, Debbie Scott, Michael Garrard, Rhonda Moade and Wendy Kastner

Members Absent: Allen Summers and Elmer Hale

Staff Present: Breyanna Weaver and Jerry Barker

B.Minutes of the January 20, 2018 Meeting: The January 20, 2018 meeting minutes stand approved as written.

C.Minutes of the February 2018 Special Meeting: The February 23, 2018 Special Meeting minutes stand approved as written.

D.Public Comments: No public in attendance.

E.Financials:

1. Check Register: After review, a motion was made by Debbie Walls and seconded by Debbie Scott, “that the January 2018 check registers be approved.” The motion carried.

2. Check Register: After Board review, a motion was made by Rhonda Moade and seconded by Wendy Kastner, “that the February 2018 check registers be approved.”

3. Income & Budget Statement: After Board review, the January and February 2018 financials are filed for audit.

4. Aged Payables: The Board reviewed the January and February 2018 aged payables report.

5. Investments and Reserves: The Board reviewed the District’s January and February 2018 investments, rates, reserves, interest income and check register details.

F.President’s Report:

a. Other Old Business

2. New Business:

a. Restroom Renovation – After some discussion concerning the bathrooms that need renovated, Debbie Walls made a motion and Michael Garrard seconded, “that Breyanna Weaver go out for bids renovating the Men’s, Ladies’ and Staff bathrooms.” The motion passed.

b. Other New Business –

Oblong Library Awning – Debbie Walls relayed the quote for Oblong Library’s Awning as $1,450.00. This does not include installation. The Board discussed other possible awning replacements, but settled back to the using the awning with added protection for bird issues. Branch Manager Judy Plunkett is seeking a quote from a contractor for installation costs.

G.Director’s Report:

•Installation of the new alarm systems began February 20th. There were several issues to deal with, but everything is up and running.

•The Illinet Interlibrary Loan Traffic Survey has been submitted.

•The annual online Library Certification has been submitted.

•Mindi and Breyanna have received their certificates for FOIA. Wendy and Breyanna have completed Open Meetings Act training.

•The elevator inspection has been completed and the yearly application has been submitted to the state.

•Parkhurst Landscaping will be doing snow removal for the remainder of the season.

•IHLS is looking at a Pay Per Use model (audiobooks) to use in addition to the Cloud Library from Bibliotheca. This would not increase fees for FY2019. They are looking to restructure existing fees already paid for Bibliotheca services.

•The walkway to the entry at the back door of the Oblong Library building has been replaced. The previous boards were deteriorating.

•If Breyanna does not have your Statement of Economic Interest, please get it to her by April 1st so that she can get them filed at the courthouse.
