Robinson Public Library District meets to review policies, consider business

The Robinson Public Library District board of trustees met Saturday, May 21.

Board members meet regularly to consider matters that affect the Robinson Public Library District.

President Bob Laswell called the meeting of the Robinson Public Library District’s Board of Trustees to order at 8:05 a.m. on Saturday, May 21, 2016, in the Carnegie Room of the Robinson Public Library.

Members Present: Bob Laswell, Debbie Walls, Debbie Scott, and Michael Garrard

Members Absent: Elmer Hale, Julie Sandschafer and Keith Boyd

Staff Present: Breyanna Weaver and Jerry Barker

Minutes of the April 2016 Meeting: The April 16, 2016 meeting minutes stand approved as corrected.

Public Comments: No public in attendance.

Financials:

Check Register: After review, a motion was made by Debbie Scott and seconded by Debbie Walls, “that the April 2016 check registers isapproved.” The motion carried.

Aged Payables: The Board reviewed the April 2016 aged payables report.

Income & Budget Statement: After Board review, the April 2016financials are filed for audit.

Investments and Reserves: The Board reviewed the District’s April 2016investments, rates, reserves, interest income and check register details.

Budget and Appropriation Comparison: The Board reviewed and discussed the Budget and Appropriation Comparison.

President’s Report:

Old Business:

Other Old Business: - None was discussed.

New Business:

Non-Resident Services Program - After brief explanation of the District’s options, Debbie Walls made a motion and Michael Garrard seconded, “that Robinson Public Library District continue participation in the Non-Resident Services Program fee and set the fee at $96.00 starting the new fiscal year, July 1st.” The motion carried

Ethics Policy Review – The Board reviewed the Ethics Policy.

Evaluations – Breyanna Weaver estimates beginning staff evaluations July 1st. Debbie Walls set a fall date for the Director’s evaluation.

Christmas Holiday – Due to the calendar this year, Christmas Eve falls on Saturday and Christmas falls on Sunday. The Federal government is making Monday the official holiday. After brief discussion, Michael Garrard made a motion and Debbie Scott seconded, “that the Monday be the official Christmas holiday for the Library District.” The motion passed.

Building & Grounds -

Oblong Air Conditioner Quote – Due to significant problems with the Oblong Library’s air conditioner, McCoy’s Heating & Air Conditioning gave a $2,850 quote for a new unit. After some discussion, Debbie Scott made a motion and Michael Garrard seconded, “that the McCoy’s quote for a new air conditioner $2,850 is approved.” The motion passed.

Other New Business –

Neighbor Building for Sale – It was brought to the attention of our Oblong librarian that their neighbor’s, Tiffany Boldrey, Hairport, building is for sale.

Director’s Report:

*Goff’s performed the annual maintenance on our air conditioners. All are in working order.

*We are in search of a new custodian. Lamar was dismissed from his duties April 19, 2016.

*We had a roofing leak right inside the entrance to the building. Graber’s came immediately to fix the probem.

*A Workman’s Comp claim was submitted on behalf of a staff member.

*Jim Munson has the Newlin Hallway doors and trim replaced.

*We had a leak in the basement above the router equipment. Goff’s came late in the evening and worked to find the leak. We will need to replace faucets in the women’s restrooms. We may need to think about replacing the sinks.

*Michelle attended the RCC Banquet on 5/12/16. Many staff and inmates spoke highly of the program to Warden Rains. Adult Learning Partners, the staff, and the library were honored for their dedication to the prison program.

*Ruth Burcham is coming back to Robinson Library as a LTA sub.
